We are the data controller for the information described on this page. That means we decide what we collect and what happens to it.

What information we collect

When you book an appointment or get in touch, we may collect:

  • Your name
  • Your phone number
  • Your email address, if you give us one
  • Notes about your appointment, for example the colour formula we used or how you like your hair finished
  • A record of appointments you have had with us, and any you have missed or cancelled
  • Anything else you choose to tell us

If you ring and leave a voicemail, we keep that message until we have got back to you.

Health information and patch tests

Before any colour service we carry out a patch test, and we ask about your medical history and any allergies or sensitivities. We also ask you to tell us if your medical history changes.

This is health information, which the law treats as a special category of personal data and protects more strictly. We collect it because we have to. Patch testing is a legal requirement before colour services, and we cannot safely colour your hair without it.

We keep patch test records so we can show the test was carried out and what the result was. We do not use this information for anything else, and we do not share it with anyone unless the law requires it or it is needed to protect someone’s health.

Why we collect it

We use your information to:

  • Book, confirm and manage your appointments
  • Do your hair properly, by remembering what we did last time
  • Contact you if we need to change or confirm an appointment
  • Carry out patch tests and keep you safe during colour services
  • Keep our own records of what we have done and what has been paid

What we do not do

We do not sell your information to anyone. We do not pass it to other businesses for their marketing. We do not send you marketing you have not asked for.

Cookies

This website uses cookies, which are small files stored on your device. We use them to make the website work properly and to understand how people use it, for example which pages are visited most.

You can set your browser to refuse cookies or to warn you when one is being sent. The website will still work, though some parts of it may not behave as expected. There is plain English guidance at aboutcookies.org.

Who else sees your information

We use a small number of trusted suppliers to run the salon and this website, including the company that hosts this website and our accountant. They only see what they need to, and only to do a job for us.

We may also have to share information if the law requires it, for example with HMRC, or if it is needed as part of a legal claim.

How long we keep it

We keep appointment and client records for as long as you are a client, and for two years after your last visit, so that we still have your history if you come back.

Patch test records are kept for seven years.

Records we have to keep for tax purposes are kept for six years, as HMRC requires.

After that we delete them or securely destroy them.

Where your information is kept

Your records are kept in the salon and are only seen by us. Anything held online is stored on servers in the UK or the European Economic Area.

Keeping it safe

We take reasonable steps to keep your information secure. No system is completely secure, but we limit who can see your records, we keep paper records out of public view, and we only keep what we actually need.

Your rights

Under UK data protection law you have the right to:

  • Ask us what information we hold about you, and get a copy of it
  • Ask us to correct anything that is wrong
  • Ask us to delete information, where we do not have to keep it
  • Ask us to stop using it in a particular way
  • Object to us using it
  • Withdraw your consent, where we relied on your consent to use it

To do any of these, ring us on 01905 616435. We will respond within one month, and there is no charge.

Children

We cut children’s hair. Where a client is under 18 we take their details from a parent or guardian, who is responsible for the information they give us.

Changes to this policy

We may update this policy from time to time. When we do, we will change the date at the top of the page. Please check back occasionally.

How to complain

If you are unhappy with how we have handled your information, please tell us first, on 01905 616435, and we will do our best to sort it out.

You also have the right to complain to the Information Commissioner’s Office, which is the UK regulator for data protection. Their website is ico.org.uk and their helpline is 0303 123 1113.
